Volunteer Roles

Check-in

• Welcome guests and provide them with any information of activities for the night / flyers. Use Handbid app to check in guests and  direct MGC members or sponsors to VIP happy hour. This role require a tutorial session with Handbid ahead of the event.

Check-in/Silent Auction

• Support with check-in as needed during the busy first part of the event. During the event ensure guests are registered on the handbid app and are able to bid on items. When winners are announced, ensure payments are made and distribute prizes to guests. This role require a tutorial session with Handbid ahead of the event.

Raffle Baskets

•  Talk to guests about the raffle prizes and encourage them to buy raffle tickets. Take payments for tickets either in cash or through the square app. Direct guests to put their tickets in for the prizes that they would like to win. Inform guests when the raffle will close, 9pm. Winner MUST be present.

MGC VIP Hour

• Give a warm welcome to MGC members and top-level sponsors to their VIP area. Make sure guests have drinks and encourage them to participate in the exclusive MGC activity.

Diamonds Direct

• Assist the Diamond’s direct representative with set-up and promote the prize. Take payment for rings and mingle with guests to encourage them to purchase.

Mascot

• Provide mascot/rep your cell phone prior to arrival. Greet mascots and handlers in the lobby and escort them to their private room, out of the view of guests. Be on call for any of their needs, such as water or refreshments and make sure they know where they are going.

Event Floater/Break Relief

• Supports relieving all volunteers for breaks, checking in to make sure everything is running well for vendors/festivities.

Cookie Table

• Coordinates with Westin staff to make sure that cookies are consistently topped up. Sell bags to guests for cookies and take payment for pre-boxed cookies.

Donation Station (DipJar, General Donations via Square, MGC)

• Assist guests in signing up to become MGC members (or increasing their pledge level). Assist guests with making one-time donations through DipJar or square.
• Accept payment for DFS mobile ornaments for sale

50 / 50

• Mingle with guests and encourage guests to buy 50/50 tickets. Take payments with cash or through square payments.

360 Photo booth

• Assist 360 Photo booth staff with set-up and make sure they have everything they need. Encourage guests to use 360 Photo booth and make a discretionary cash donation.

Women-owned Vendor Support

• Assist vendors with loading in and make sure they know where they are positioned and that they have everything they need. Encourage guests to support vendors and check-in with vendors during the event to make sure things are running smoothly. Help vendors break down at the end of the night and make sure that vendors have the dolly to transport items.
